It details and defines conditions that you must consider and accept in order to use this website and initiate projects with ALEGNA MEDIA. Once you have read, this page, you automatically agree to the policies laid out therein. If do not does not agree with these policies, you should not use this site/place and/or order with ALEGNAMEDIA.
Client is responsible for providing any requested information needed for the selected service or package, such as: content, imagery, account passwords/login info, etc. This will all be detailed and discussed with the client during the beginning stages of the project.
Until we have received due monies, we are not obligated to begin work on any project.
We ask that clients please commit to timely responses and provide an easy flow of communication throughout the duration of their project. Any extended periods of delays and unresponsiveness to emails/approvals will automatically push back the project completion date.
If an illness or emergency occurs to either party during the project, we will make adjustments to the initial project schedule to best accommodate the situation at hand.
We are not responsible for any problems that may arise due to changes or updates to website or blog after the project is completed and turned over to the client. We are also not responsible for any problems with platform hosting, server downtime, or other software/technical issues.
We are not responsible for any client-incurred problems that may arise due to editing or damaging the original source files.
Due to issues the designer may encounter during a project, there may be certain restrictions or things that may not be possible to achieve on a project. We will clearly communicate if such issues were to arise and work to find alternative options to help see your vision through.
We highly encourage clients to provide us with high res. images for any social media content submission, photos for url’s, or any service involving imagery of any sort.
WEDDING MEDIA PRINTING
We are not held responsible for any timing issues or delays with the printing companies.
Any add-on print service purchased will not be sent to printing company until full payment is received.
Any additional design revisions or add-on request from client that surpasses the amount included in the service will be billed and will be due immediately.
Client is fully responsible for any fees associated with purchased services needed to initiate their project such domains, hosting, etc.
Once project is completed, payment is due within 48 hours of clients approval on the finished project. Late payments will result in a $75 late fee. After 30 days this will be $50 monthly late fee attached monthly.
All payments are non-refundable.
Please be aware that all prices are in US Dollars ($).
Please be aware that all times are in EST (Eastern Standard Time).
No final files will be sent until full payment is received.
We retain the right to display and market all work completed on any project/service as our own. If you have concerns (project launch supression) please advise during your order that you need something held until a certain date due).
All design files are delivered upon completion of the project via Dropbox. Please download and save all files to your computer instantly. There’s a high chance we will be moving files constantly within our Dropbox, which may cause you to lose access to them if they are not downloaded properly.
All account information shared with us remains private and confidential. No logins, passwords, or personal information will be shared or forwarded to others without written consent from client.
All orders must be submitted online. Your submission acts as a contract and your acceptance of terms and process noted here.

Payments are accepted via Paypal.
Payments can be sent via our invoice connection to Paypal or directly from Paypal to email@example.com.
Please utilize all options before statements of problems to AM as we have no responsibility or control for issues no directly related to AM. Paypal should send you a receipt and we receive as well.
Do not place an order if you are not ready to release funds otherwise or stall an order in order to allow more time for payment. Simply let us know and we will discuss prior to order.
Past due accounts are subject to late fees, court costs and any other legal cost or otherwise associated with obtaining final payment. Certain projects are subject to loss of usage of materials received in advance if not paid in order to secure balance.
Receipts or card transaction will be listed as ALEGNA MEDIA.
You do NOT need to have a Paypal account in order to make a payment. There is an option on the invoice to pay via credit card, debit card, or electronic check. We do not accept electronic checks.
We allow deposits of project’s cost is over $500. This deposit is one-half of total cost with the remainder due at completion. We do not offer multi-partial payment unless discussed prior to order (EXPRESS ORDER CLIENTS ONLY). All other orders must be paid in full before the project begins.
Once you pay your invoice, you are in contract.
The remaining balance will be invoiced upon completion of the job if deposit only paid.
Additional charges will be discussed and agreed upon before the final invoice is sent.
Additional charges (for graphics) will be applied if any pictures or illustrations are needed through through third party vendors or affiliates. (We will not purchase any images until we have client approval).
Original image files will not be emailed until the full balance has been paid.
Additional charges will be applied if the client needs additional work that is outside of the original quote or package specifications.
During the project (before close), all major revisions not discussed in initial consultation result in additional fees. You will be advised what they are prior to invoice and can decide to not do if you so chose.
No payment of any kind when due will result in cancellation of related project.
We function on a quick turnaround for our clients and work in order of receipt. Any delays on the clients behalf will result in a different placement as clients following directives will be moved in advance of delayed projects.
COURTESY VS INCLUDED
There are many ways AM tries to accommodate your project, however please be mindful of courtesy versus included. There may be things that are included that we were under no obligation to include. They were not apart of the purchased “package” and maybe we tossed it in as a bonus. So therefore “demanding” or “asking for” these things may generate an invoice. We recommend you include in your order everything you need outside of that so it may be billed to you in your original invoice and you have the guarantee of knowing you will get what you paid for.
There may be rush fees involved for certain projects. You will be informed prior to invoice.
Revision responses have to be within 7 days from sent drafts or your files go archive and there’s a re-open fee of $75. Flat rate revision fees can range anywhere from either be 1/2 of original projects or $50 or full-rate if completely revamping versus revising. We offer no obligation to keep files for months and years on end for revision beyond this.
Any “major changes or double usage” will not be considered a revision. For example changing the date and location on a flyer is generating a new flyer for usage and will be billed as such. This will insure projects are properly proofed. If you do not want to incur these rates over and over please proof all materials prior to sending as well as before final approval. Do not assume all text is correct and only approval overall look/graphics. We recommend you do not review any files from cell-phones. Reopening and editing files is labor intensive so be clear on project usage and approval.Every project will not be considered a “revision” if end product will result in two usable products you will be invoiced as such (logos or where revised info is completely different than original).
All base rates and fees are subject to change due to amount of graphics/text and requests.
If clients cancels production and chooses not to proceed with project after work has begun, 50% of the remaining balance is owed to ALEGNA MEDIA.
If your account has been closed due to policy and terms violations or non-payment, it may only be reinstated at the discretion of AM’s lead designer.
If client doesn’t respond to an installment payment or to finish a project already paid on within 4 weeks, the entire project will be cancelled. There will be no refunds or files sent to the client. Regular invoices are due within 24 hours or immediately if noted.
Email is used as a main source of communication. We like to use the email correspondence as reference when we are able to begin working on a project. This helps us to keep things in order and to keep track of project details and answers to the many questions that we usually have for clients. But you don’t have to worry, We are known to respond right away (usually that day or at least within 24 hours).
First time or long-term clients may request a phone consultation if needed with their order or via email to firstname.lastname@example.org We are available Monday through Friday between the times of 10:00am and 4:00pm Eastern Standard Time. Times outside of this can be requested to fit your schedule and fees still apply. Missed consults will not be rescheduled and remember these calls are for you-not for us so be sure to have questions and utilize when needed and as needed. There is a $35 per 30 min fee/$35 minimum non-refundable fee. You will be invoiced prior to call.
ALEGNA MEDIA requests that you do not share sample boards with the public. You may share with people who play a role in project approval via email or in person but not publically via social media or other public avenues. Once you pay in full, approve and receive your finals you may of course share those as needed as well as once we share project ads you are free to tag yourself or share those via social media. Sometimes multiple options are on boards and by releasing them publically you allow for concepts that are not finalized and owned by ALEGNA MEDIA to be duplicated/copied etc. This is why sample boards are labeled PRIVATE AND CONFIDENTIAL.

The email address you provide for order processing, may be used to send you information and updates pertaining to your order, in addition to receiving occasional company news, updates, related product or service information, etc.
Do we disclose any information to outside parties?
We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information. This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential. We may also release your information when we believe release is appropriate to comply with the law, enforce our site policies, or protect ours or others rights, property, or safety. However, non-personally identifiable visitor information may be provided to other parties for marketing, advertising, or other uses.

Occasionally, at our discretion, we may include or offer third party products or services on our website. These third party sites have separate and independent privacy policies. We therefore have no responsibility or liability for the content and activities of these linked sites. Nonetheless, we seek to protect the integrity of our site and welcome any feedback about these sites.
THAT FREELANCE LIFE
If your company would like to receive merchandise from AM and requires a W9 based on wanting to interpret these services on your taxes different than your carpet cleaner or car detailer or babysitter, we recommend you seek services elsewhere. It is a business expense -usually considered “marketing” just as a light bill or phone bill for work( we don’t offer any digital products). It scares me to send my personal information to random clients-some of which I can’t even get to pay their invoices on time or are not trustworthy. If you request this during your first inquiry about the initiation of business, we will discuss at that time so you can make other arrangement so you don’t find yourself in a crunch waiting until after services have been rendered. As a small business freelancer I report all income so all amounts should match with their records when they compare what you paid. We provide invoices for services which fully note the amounts you have paid. Always inquire before you do any business with AM if you have any questions. And don’t forget to talk to your accountant so they can recommend the best filing moves for you BEFORE you do business with anyone.
If a client submits any assets to be used in their projects is their responsibility to make sure all assets are theirs or that they have obtained proper usage rights. If a clients submits assets not properly obtained, they are responsible for all legal fees and court costs that AM spends in litigation against related lawsuits.
Ex. Using fonts, art etc. that you just grabbed off the internet and have not paid for.
Al litigation against ALEGNA MEDIA or its owners must take place in the State of North Carolina and in the County of Northampton.

Orders may be submitted via our contact form. Once all your information has been gathered, submit all info and you will be invoiced. Please do not request invoices in advance of being prepared or submitting complete information.
Submit all proofed text and review prior to sending to AM. Submit text for each order. Do not submit orders will requests to “use info previously sent” or “pull from my website” or “here is a picture of my old flyer so just use text on that”. Do not submit orders any way other than via the website unless requested by AM. THIS IS NOT ACCEPTABLE.
Book covers/web graphics: Please submit templates when available and exact size specs during initial order for your covers and or header images depending on your publishing method.
“What do you need from me?”
With any project, you are submitting content or asking for content (extra fee). All details are needed. If you want it on your invitation or flyer then we need that information, we need size preferences, colors etc. These are standard basics and common knowledge. We can’t create with what we don’t know so these things are basics that must be provided. Until you send this information your order is not accepted or complete . For example, if you don’t send us a date, we won’t know the event is and we won’t put it on your media. Be clear and gather your thoughts, ideas and information prior to order placement or inquiry to be best prepared. Also in turn once you get your samples, proof them because if info is left off and you ok the final, it is your responsibility. Don’t get caught up in graphics and miss checking the text before finalizing your project. Also when sending text, send without ANY formatting. If you want bullets..note (add bullets but do not lay text out in Word as it is being cut and pasted into your media and formatting requires numerous edits should you not like the placement on your media. Again proof, proof and reproof before sending to us for your order.
AM offers promotions via its newsletter or social media pages. Be sure to follow the terms mentioned in promo tp participate and any basic terms below:
-Purchase promos by any mentioned deadlines.
-Submit all necessary information.
-Use all promos by any noted deadlines. Standard deadlines are 6 months from purchase if not noted. (Some bundles may have longer deadlines but they will be mentioned in promotion) Promotions are non-refundable so do not purchase items simply because they are discounted if you do not have a definite plan for prompt usage as you forfeit payments upon passing of deadlines.
THIRD PARTY ORDERS:
Do not place orders for third parties. This may result in rendering someone’s account in bad standing if they do not respond to invoices.
Any third party orders submitted will be billed to the person noted as placing the order and they will be subject to any cancellation fees. If you have orders that need to be billed to a third party, we highly recommend you let them place the order. Otherwise we recommend you obtain funds from said party so that you can handle. Other accommodations will only be granted to VIP clients. Please be skilled at carrying out third party projects as we have too many instances of clients being mislead via third party or projects being delayed by the middle man and blame being placed on the client. This is a no-no. Determine with your client if you have creative control and advise them fully of terms before proceeding.
Paypal funds will accrue a penalty fee of $50 if not cleared via Paypal.
Reinstatement fees start at $25 for small projects up to $175 and accrue in full (+$25 more) in the same incremental range upward. ($176-$350 -$50 / $351-$525 -$75)
Fees not paid will result in the inability to place future new orders with AMD. We will work to secure updated to completed projects as needed and at our discretion but no NEW orders will be accepted.
Purchasing of Editable files (PSD) is available for $500.00 per project.
There are fees for late add-ons, excessive or unnecessary revisions and they will be determined per order. Please do not submit an order without checking submitted info. (this is what you are agreeing to at the end of your order). Minor errors are expected but please have respect for our time and labor in reediting, resaving and resending and try to make the process as smooth as possible but proofing and going over your order before sending.
Late fees are $50 each month. You may make any direct payments to firstname.lastname@example.org at anytime even without an invoice.
Late fees on promotion orders will be accrued when order submitted after deadline at a rate of $5 per 30 min. interval.
Client will be responsible for any court costs and legal fees due to non-payment or late payment legal proceedings for AM reimbursement in addition to balance owed. Client will also be responsible for any expenses they incur as it relates to attendance to AM’s local area for court proceedings.
Website Maintenance (in terms of adding and removing), small error corrections, extra formats, style sheets for anything besides logos and other items after approval are all billable services. Please utilize the order form to place a valid order. Do not email direct about billable services.
REFERRALS AND OUTSOURCING
AM does not offer personal recommendations for other designers but we do have a network of alternate designers and at our discretion when not able to take on a project due to our own delays. Your experience with them is your own.
FILE FORMATS/SAMPLES: PNG/JPG/PDF -in most instances-(sometimes PDf is omitted unless requested) files are the only files included in your rates. Please inquire before your original order about other formats if budget is a concern as this will increase your rates or may not be available. ASK BEFORE YOU BUY!
You will receive 3 logo samples and 1 sample of all else unless at the discretion of the designer (does not include promotions). In other words, if creativity generates more options then that is what you will receive so be clear on requests/visions or lack thereof.
Every set of samples over this will result in additional fees.
SIZES: Submit size/spec/template info with every order as needed. AM uses standard sizing of width/height format. Ex. A Standard full sheet of paper is 8.5 x 11 so use the same format when submitting sizing. If you have a vendor using it in any other format/reverse submit to AM in W/H. You may also submit sizing along with a VERTICAL/HORIZONTAL or PORTRAIT/LANDSCAPE designation.
Upon completion of order (final approval, paid balance and receipt of finals) you own full rights to those items. Any revisions to logos after final,result in full payment for new logo.
For printing on various budgets please do you research or ask for recommendations if needed.

WEEKEND AND AFTER HOURS AVAILABILITY ARE AT THE DISCRETION OF THE DESIGNER AND WEEKENDS DO NOT COUNT AGAINST YOU IN REGARDS TO 48 PAYMENT OR RESPONSE TIME ETC.
Alegna Media will attempt to meet all reasonable deadlines but will not take any responsibility for delays in information and late notices created by the client.
Our normal turnaround time is 24-48 hours or less
Basic terms above do not include term addendums discussed or agreed to for various promotions, offers and or new services. Inquire as needed. Any agreements not honored by the client may result in cancellation of services/deals. AM reserves the right to change basic terms at anytime. Inquiry Emails or phone calls do not take the place of orders. Include all info on your order.
Starting NOW we will no longer be able to quote certain projects unless full disclosure is given. Also all quotes given are good for 48 hours only. This eliminates the 2, 4 or 6 month later returns when prices have changed. While its in the terms that they are subject to change–it’s always the ones who don’t read who have an issue with it changing so QUOTE’s BE GONE!! AM recommends you set aside a minimum of $100 for any project as smaller projects typically don’t do not get many quote inquiries as they are noted on the website.
Don’t be the DEAD in your own deadline. If you have time constraints, you must be available for prompt responses and be clear on your vision.
If you do not respond promptly, send complete and proofed info and/or not specified a deadline in your initial order (which should fall within normal business hours), DO NOT EMAIL AM asking when your final files will be sent or a project will be complete. This is never a decision we make, but simply based on your turnaround and preparedness. The standard answer for this will be within 48 hours. (see Contact Page for current normal business hours).
Read all emails clearly and follow all directives. We do not guarantee response to incomplete or incorrect orders so please READ all information provided so that you have your base order correct. If we think things later we need or want we will request them accordingly.
When reviewing samples the goal is to narrow down and eliminate, especially with logos. This process should not be moving backwards to be sure you are reviewing all. Take your time BEFORE you respond as each response is considered a revision. You will be given tips during the process so just take your time and focus on the end goal.

Do not utilize your order for questions-ASK BEFORE YOU ORDER AND BEFORE YOU BUY.Once your order is submitted a swift progression to project completion should be the only goal. Time is valuable and used wisely so phone consults are available after order payment. Please be as clear as possible on your vision/preferences (if any) prior to and be able to communicate them.
In order to submit a COMPLETE order, be sure to have all content (text), photos, font and color preferences and size/file specs etc. for your order. If you do not have all then gather all necessary for your order before submitting. Basically, if it’s needed to complete your request, then have it available. This saves time and lessens or eliminates the need for numerous emails requesting more information. Also be prepared to cover any invoices you are sent. If you will not have funds until a later date, then we ask that you wait until that time to submit you information. All invoices are due within 24 hours. If you do not receive an invoice within 24 hours after submittal please inquire and check your spam folders. After they have been issued and 24 hours have passed without payment they are considered cancelled and a $25 cancellation/reinstatement fee will apply should you return to AM for future business.
Tip: If numerous people play a role in your final project, please Secure/Clarify/Verify all details before submitting. Excessive and unnecessary revisions due to disorganization on your end will be billed accordingly and is at our discretion.
